Privacy Policy
Last updated: 1 September 2026
This privacy policy explains how QS On Call collects and uses personal information when you contact us, ask for a quote or send project information for commercial support. QS On Call is the controller of the personal information described on this page.
Information we collect
We may collect your name, phone number, email address, business name, role, project or site details, contract information, instructions, messages, photographs, costs, records, attachments and any other information you choose to send by WhatsApp, email, phone or other agreed channels.
How we use information
We use information to respond to enquiries, understand the work requested, review the commercial position, prepare draft variation or claim submissions, communicate with you, manage fees and invoices, keep business records and deal with legal or regulatory obligations.
Lawful basis
We usually process enquiry and project information because it is necessary to take steps before entering into a contract with you, or to provide services under a contract. We may also rely on legitimate interests for practical business administration, record keeping, service improvement and protecting our position if a dispute arises. We may process some information to comply with legal obligations, including accounting and tax requirements.
Sharing information
We do not sell personal information. We may share information with trusted service providers who help us operate the business, such as email, messaging, file storage, accounting and website providers. We may also share information where required by law, with professional advisers, or with another party where you ask us to send a submission or supporting material on your behalf.
International services
Some tools used to run the business, such as email, messaging, hosting or cloud storage services, may process information outside the UK. Where this happens, we expect those providers to use appropriate safeguards for international transfers.
Retention
We keep information only for as long as reasonably needed for enquiries, service delivery, accounting, legal, insurance or legitimate business record purposes. Enquiry information that does not become paid work will usually be kept for a shorter period unless there is a practical reason to retain it.
Your rights
You can ask to access, correct, delete or restrict the use of your personal information. You can also object to processing based on legitimate interests. These rights are not absolute and may depend on the circumstances, but we will respond to requests in line with applicable UK data protection law.
Complaints
Please contact us first if you have a privacy concern so we can try to resolve it. You also have the right to complain to the Information Commissioner's Office, the UK regulator for data protection.
Before launch
This policy should be checked against the final business details, suppliers, retention periods and working practices before the site goes live.
